Terms and Conditions

The Raqs congress is organized, sponsored and produced by Together in Life NPO in collaboration with Salwa. Please do not hesitate to contact us for any further details regarding the following terms & conditions or the event itself, we will gladly provide you with our best answer.
 

Participating in the congress

The participation in the Raqs Congress requires the purchase of the corresponding Raqs congress pass. The details about the available pass and their prices are available on our booking page.
The Raqs congress pass is nominative and can only be handled to a third person under the conditions described below. A lost pass will not be replaced; the purchase of a new pass, at its full price, will be required. Make sure you wear the wrist pass immediately and keep the meal vouchers and other tickets at a safe place.

Booking procedures

The booking procedure was made extremely simple. All you have to do is add the desired items to the basket from the participate menu or from our booking page and proceed to our FULLY SECURED payment page. Our online payment engine accepts all major credit and debit cards (Visa, MasterCard, American express ...).

We also accept other payment methods for your convenience :

  • Via email : If you choose this option please send your credit card type and number, expiration date as well as the 3 digits security code situated on the back of the card, and off course the order number received through our website to
    Be advised that this method of payment IS NOT secured. In order to pay securely via email, we strongly recommend the use of the paypal system (www.paypal.com) using as the receiver email address. A confirmation email containing your Congress ticket and important information will be sent back to you.
     
  • Via the telephone : Call us at +32 2 640 11 74 during office hours and provide us with your credit and details. We will than introduce a direct credit demand to our Financial partner. Your credit details are safe and will not be transferred through the Internet.
    When the payment is completed we will send you a confirmation email containing your Congress Ticket and important information.
     
  • Via Fax : Send your fax to +32 2 640 11 74 providing your order number received through our web system and your credit card details (credit card type and number, expiration date and the 3 digits security code situated on the back of the card). We will than introduce a direct credit demand to our Financial partner. Your credit details are safe and will not be transferred through the Internet.
    When the payment is completed we will send you a confirmation email containing your Congress Ticket and important information.
     
  • Via a regular bank transfer : through your own home banking system or via your bank agency make a bank transfer of the requested amount to :

    Do not forget to mention your order number received through our web site ! After receiving the payment we will send you a confirmation email containing your Congress Ticket and important information.
As specified in our privacy statement, we guarantee the non disclosure of any personal information to any third party (beside our financial partner and only in the goal of executing your money transfer request).

Security and credit cards

The online payment engine is fully secured. No data related to your credit card is stored nor transferred to a non authorized third party. All data transfer is secured and encrypted with the SSL encryption technique. You will receive a payment confirmation email and will be able to follow your order's state on any time directly on your personal information page (secured login on the website).

Congress Access

The access to the congress area is allowed exclusively to those holding an appropriate wrist pass. The participants will receive their wrist pass and tickets upon registration at the Hilton Brussels. Do not forget your ID or passport since they will be required in order to complete registration.

Accommodations

An accommodation solution is offered on the Raqs Congress website in order to facilitate the preparations for the event and propose a competitive price thanks to large occupation. You are free to choose any other accommodation solution you wish. There's no obligation to book with our partner hotel !

Images and copyrights

By participating in the International Raqs Congress in any way you give the congress team the right to use your image on all kind of promotional material, without conditions or limitations. The congress’ team is committing to respect your image and make no misuse of it in any way.
 

Cancellation and transfer

While purchasing a pass or a ticket to the Raqs Congress, payment is considered a binding contract which can not be freely annulled. Please find here under the terms and procedures to follow in case you desire to cancel your participation for any reason

Cancellation within 7 working days from the time of purchase

Consumer on-line purchase law allows any customer to annul, within 7 working days, a purchase placed, free of charge. The Raqs congress is not an exception. In case you would like to value those rights, please send us a copy of the confirmation email your received along with your credit card details (type, number and expiration date) via registered mail to the following address

Upon reception, your reservation will be cancelled and your money fully reimbursed.

Transfer

The Raqs Congress pass is nominative and can not be transferred freely. Any transfer demand should be made through our website contact page until March 19. The name transfer is free the first time and will be charged 25 € afterwards.
Registration of a pass transferred without proper authorization will not be accepted!

Cancellation

Any cancellation request should be transferred via our website contact page. In a case of cancellation the following terms will be applied :

  • Prior to December 1st 2009: Administration fees of 10% will be retained for cancellation.
  • Between December 2nd 2009 and January 31st 2010 : Administration fees of 50% will be retained for cancellation.
  • After January 31st 2010 : All refund requests will be denied.
In case of cancellation you will be requested to provide our financial department with your bank account details in order to be reimbursed. Any reimbursement will be done within 10 working days counting from the day of reception of all required information and documentation.
 

Event Cancellation for external reasons

In case the event is cancelled for a reason out of Together in Life’s control (weather related, terrorist act/threat, global strick etc.), Together in Life would not be held responsible and could not be the object of any blame. In such a case, no refund could be requested and Together in life will be released of any responsibility.
 

Responsabilities

The Raqs Congress team and Together in Life shall not be liable for any loss, injury, claim, liability, or damage of any kind resulting in any way from your participation in the International Raqs Congress. The Raqs Congress team and Together in Life will not be held responsible for any injury, theft or loss of personal items occurring during the festival. We will provide the best care and security measures in order to avoid such events and make the congress a safe and enjoyable environment.

Teachers and artists

The Raqs Congress team and Together in Life have made a great effort to bring together, for your enjoyment, some of the best masters of the Belly Dance world. That being said, we decline any responsibility over the behavior, the nature and/or the quality of the work of our teachers. Also we decline responsibility for any cancellation and/or desistement from behalf of the teachers and performers. We can not guarantee the presence of any particular invitee if prevented by circumstances beyond our control.
We reserve the right to annul the invitation of a teacher in case we believe it's in the interest of the Raqs Congress or in the interest of Together in Life NPO.
Also, our teachers' opinions do not reflect those of the Raqs Congress team not those of Together in Life.
 

Terms & Conditions modification

The Raqs Congress team and Together in Life reserve the right to modify the present terms and Conditions at any time without prior notice. Any modification will be considered binding to all of the Raqs Congress participants.
